How to open a business account in stablecoins: from KYB to the first payout
Company onboarding at Soulbit starts with KYB and prepares the first payroll payout with checked data, designated people and available funds.
A foreign company with a Colombian team decides to pay part of its people in stablecoins and finds that preparation starts before the first payment. It needs to gather its corporate file, complete business verification and check its payroll calculations and recipient details. Coordinating these jobs early helps avoid repeated questions and last-minute corrections.
At Soulbit Academy we have put that path into one operating guide. This article walks through onboarding a company onto SoulBit Business, from KYB to the first payout, and leaves each piece's detail to its own article: the concept in what KYB is and the paperwork in the KYB document checklist.
Open a business account in stablecoins: six preparation tasks
Before the first payout, the company should coordinate six tasks. This is a working guide for its team, not a sequence of product screens or a promise that Soulbit enables each function in that order. The Soulbit team confirms the process for each company.
| Task | What should be checked | Suggested owner |
|---|---|---|
| 1. Corporate file | Company data and documents are consistent | Legal representative |
| 2. KYB | Ownership and control are identified | Representative and beneficial owners |
| 3. Coordination | Verification status and operational steps are confirmed | Finance lead and Soulbit |
| 4. Payroll | Amounts and recipients have been reviewed | Finance and labor counsel |
| 5. Balance | Funding route and funds suit the batch | Treasury |
| 6. Payout | Final instruction has been reviewed | Authorized company team |
These tasks connect for a practical reason. Soulbit is a custody and payments platform; the company remains responsible for calculating salaries and contributions. It should reach its first instruction with the corporate file, recipients and balance already checked.
Soulbit has a business web environment. Permissions, upload channels and specific checks should be confirmed during onboarding, since this article does not describe product screens or statuses verified one by one.
How long does the full onboarding take?
It depends on the file and the Soulbit team communicates it. We give no timeframe because none has been confirmed. What the company does control is the quality of its file: a complete, consistent file reduces the back and forth.
Before you start: who takes part and what must be ready
Onboarding flows when three profiles in the company are identified from day one: the legal representative, the finance lead and the beneficial owners. The bottleneck is rarely the platform. It is usually someone who did not know they had to be verified.
The first is the legal representative. Their identity is verified individually, in addition to the company's, and they stand behind the request before compliance.
The second is the finance lead. This person coordinates the balance, reviews the payroll calculation and checks recipient details against internal records. A second person should review those details before a payment is instructed.
The third is the beneficial owners, the natural persons who own or control the company. Each goes through their own identity check, so warn them before the file is sent, not after.
Two internal tasks save a lot of time. The first is naming one owner of the file, who centralizes questions. The second is confirming with legal counsel that the ownership structure is current in the corporate documents. The exact list of documents, grouped in blocks, is in the KYB document checklist, and we do not repeat it here.
Does the payroll file need to be ready before onboarding?
It is not required, but preparing payroll alongside verification helps. The company can check amounts and recipients in its own systems. It should confirm with Soulbit when it can operate before sending a real instruction.
The KYB stage: what is verified and which obligations drive it
KYB, Know Your Business, checks three things about a company: its legal existence, who represents it and who owns or controls it. The applicable verification must be completed before business operations are executed through Soulbit.
The platform organizes verification in three blocks: the company, the legal representative and the beneficial owners. The full concept, including how it differs from KYC, is in what KYB is and why your company needs it.
The requirement has a regulatory context. In Colombia, the Superintendencia de Sociedades sets due diligence duties for entities covered by its regime. Its External Circular 100-000020 of 2 July 2026 adopted a new Basic Legal Circular. How it applies depends on each company's circumstances.
Internationally, the underlying standard comes from the FATF. Its guidance on beneficial ownership of legal persons asks firms to identify the natural persons behind a company and to look at both ownership and control. A small shareholding therefore does not exempt whoever actually runs the business.
For the company this has a concrete consequence. The file must show the real structure, including intermediate holding companies, all the way down to people. A chart that stops at another company leaves the case incomplete.
What mistakes delay onboarding the most?
Three avoidable errors delay onboarding: a beneficial owner who did not know they had to be verified, corporate data that does not match across sources and partial answers to a compliance request. All three are avoidable with one file owner and an internal review before sending.
Reviewing the file: what the company can prepare
KYB requires consistent information on the company, its legal representative and its beneficial owners. The company can check that consistency before presenting the file. Soulbit confirms the status and applicable instructions for each case through its support channels.
It is unwise to assume a timeframe or a closed list of possible outcomes. Ownership complexity and the documents provided can affect review. If the team requests clarification, the company should answer with consistent records and keep a copy of what it sends.
| Part of the file | Internal check | Company action |
|---|---|---|
| Company | Name, registration and activity match | Check current documents |
| Representation | The authorized person appears in the records | Confirm identity and authority |
| Beneficial owners | The ownership chain reaches natural persons | Prepare the structure chart and evidence |
Corporate information can change. If shareholders, representatives or activity change, the company should ask when its file needs updating. Later operations may be subject to risk monitoring, explained in KYT and AML in payments.
Who communicates the progress of the case?
The Soulbit team is the contact for confirming the file's status and next steps. The company should name one person to coordinate communication and record clarifications. This channel also allows it to ask about timing without turning an estimate into a general promise.
After approval: setup, custody and balance funding
After completing the applicable verification, the company should coordinate three matters before paying: its payout service, the people involved and the balance. Soulbit will confirm the permissions and activation steps relevant to each case.
The first is defining how Soulbit Salaries will be used for mass payroll disbursement in stablecoins. Finance should confirm the planned type of payment and its internal calendar without assuming that the platform calculates salaries.
The second is the team. The company should assign people internally to prepare payroll, check recipient details and authorize payment. That separation is the company's control measure; it does not assume a specific approval flow inside the platform.
The third is funding. The company balance can be supplied in stablecoins, USDC and USDT, or in fiat over the local banking rail, which today exists only in Colombia. Before uploading a batch, the balance must cover the total.
That balance sits under institutional custody using MPC technology, a scheme in which the signing key is split and no single party holds it whole. Soulbit is a custodial platform: the company controls operations, not keys. How that protection works is explained in institutional MPC custody for a company balance.
Can a company operate without setting up its team?
A small team can operate, but another person should check amounts and destinations before payment. The company should confirm available permissions with Soulbit and apply its own internal controls. This avoids relying on an approval feature that has not been confirmed here.
The first payout: preparation and checks
The first payout is best treated as a controlled trial with few recipients from a known list. Before sending an instruction, confirm the upload format and how to check the outcome with Soulbit. The aim is to detect bad data before increasing volume.
As an illustrative case, imagine a hypothetical company with a Colombian team that starts with a small group of contractors before moving the whole payroll. The makeup is an educational assumption, not a Soulbit offer. Finance checks the payroll it has calculated, compares each recipient's details and verifies the intended total.
If it finds a discrepancy, it corrects the source information before paying. Another person can then review the total and available balance. This internal control is useful even if the exact approval channel depends on the company's configuration.
After execution, the company should reconcile each payment against payroll records and retain whatever supporting records Soulbit makes available. It should ask in advance which identifiers and confirmations its accounting team will receive; this article does not promise a downloadable batch report or a trace for each transfer.
The detail of each step is in batch payroll disbursement: from file to execution. When the list of recipients repeats, the right mechanism is recurring payroll in stablecoin, which reuses the list every cycle.
Why start with a small batch?
Because the first payment lets the company check recipient details, amounts and reconciliation on a limited scale. A discrepancy found in a few payments is easier to investigate. Before expanding payroll, the company can refine its internal procedure.
What Soulbit onboarding delivers and what it does not
Soulbit's business offering includes KYB verification, institutional custody with MPC, mass payroll disbursement in stablecoins through Soulbit Salaries, local banking rails in Colombia, payment links, collection QR codes and human support. It also includes direct spending from the balance by card without a manual top-up. The availability of each channel and function should be confirmed during onboarding.
What onboarding does not do sets the scope just as clearly. It sets no approval timeframe, because each file is different. It does not replace the legal counsel that prepares corporate documents. It does not calculate salaries, contributions or withholdings, nor does it file electronic payroll with the DIAN.
This path also assumes no ERP integration or yield on balances. The card is within the confirmed product scope, but this article does not assume it is operational for every company. Mobile apps should only be described as available once publication in the stores has been verified.
These limits help decide better. If your need is to pay a team in stablecoins with traceability and control, the path in this article covers it. If you need the system to calculate payroll or plug into your HR software, that stays on your side today.
